The terms for using Quotia.

These Terms of Service govern access to Quotia's website, accounts, organization workspaces, paid plans, and application features.

Agreement and authority.

These Terms form an agreement between you or the organization you represent and Orchard Digital Solutions Inc., the company that operates Quotia. By creating an account, accessing an organization workspace, or using Quotia, you agree to these Terms. If you use Quotia for an organization, you confirm that you are authorized to accept these Terms and use the service on its behalf.

If Quotia and your organization have signed a separate written agreement, that agreement controls where it conflicts with these public Terms.

What Quotia provides.

Quotia provides a hosted workspace for reusable Playbooks, client jobs, structured responses, private evidence, assignments, reviews, approvals, generated reports, and optional AI-assisted report revisions. Available features, limits, support, and controls vary by plan.

Quotia may improve, add, remove, or change features over time. When a change materially affects a paid service, Quotia will provide notice when reasonably practical.

Accounts and organization administration.

  • Provide accurate account information and keep it current.
  • Protect credentials and do not share an individual account.
  • Use roles, permissions, assignments, and membership status appropriately.
  • Remove access when a user no longer needs the workspace.
  • Notify Quotia promptly if you suspect unauthorized account or workspace access.

Workspace owners and authorized administrators control membership and role assignments. An organization is responsible for activity by the users it authorizes, subject to Quotia's own obligations to operate and protect the service.

Customer content and client information.

Your organization is responsible for the Playbooks, client and location details, evidence, findings, report content, and other material its users submit. You must have the rights, authority, notices, and consents needed to collect that information and use it with Quotia.

You authorize Quotia and its service providers to host, copy, transmit, validate, secure, and otherwise process submitted content only as needed to provide, protect, support, and maintain the service or as required by law.

Professional judgment and final reports remain yours.

Quotia helps teams organize work and prepare reports. It does not replace professional judgment, an inspection, laboratory analysis, legal advice, regulatory advice, or any certification required for your work.

Your organization is responsible for checking job information, evidence, findings, calculations, approvals, and final reports before relying on or delivering them. A workflow control or generated report does not by itself establish compliance with a law, standard, contract, or professional obligation.

AI-assisted revisions require review.

AI suggestions may be incomplete, inaccurate, or unsuitable for a particular job. They do not change a document automatically. An authorized user must review and explicitly apply selected changes.

Do not use AI suggestions as a substitute for the qualified person responsible for the work or final report. Additional provider terms may apply to AI-assisted features. See the Privacy Policy for the information used when AI assistance is requested.

Acceptable use.

You may not use Quotia to:

  • Break the law, violate another person's rights, or process information without authority.
  • Upload malicious code, deliberately unsafe files, or content intended to compromise the service.
  • Attempt to access another organization's workspace, data, account, or private file.
  • Interfere with security controls, rate limits, authentication, logging, or service availability.
  • Misrepresent AI-generated or unreviewed content as verified professional work.
  • Use automated access in a way that overloads or circumvents the service.

Plans, billing, and the three-month offer.

Quotia offers Starter, Grow, and Scale plans. Current features, limits, billing cadence, and prices are shown on the Pricing page and during checkout. Stripe processes paid-plan checkout and payment details.

How the mold-inspection offer works

Starter is the free-forever plan. The three-month free offer applies to the other two plans—Grow and Scale—and does not replace or shorten Starter's free access. Any additional offer details shown during signup or checkout form part of that promotion.

You are responsible for charges and applicable taxes presented and accepted during checkout. Plan or subscription changes take effect as described in the account experience, checkout, or a separate written agreement.

You may cancel a paid plan at any time by contacting [email protected]. Cancellation takes effect at the end of the current billing period, and you remain responsible for charges through that date. Cancelling prevents the next renewal; it does not shorten the current paid billing period.

Payments are non-refundable. Quotia does not provide full, partial, or prorated refunds or credits for unused time, except where required by applicable law. Contact support with a billing or refund question.

Third-party services.

Quotia relies on third-party services for hosting, storage, billing, email delivery, analytics, and requested AI assistance. Their services may be governed by separate terms. Quotia is not responsible for a third-party service outside the parts Quotia controls, but Quotia remains responsible for its own obligations when selecting and using service providers.

Suspension and termination.

Quotia may restrict or suspend access when reasonably necessary to address a security risk, prevent harm, respond to unlawful use, investigate a material breach, comply with law, or address unpaid fees. Where appropriate, Quotia will provide notice and an opportunity to resolve the issue.

You may stop using the service at any time. Paid-plan cancellation and refund terms are described in the Plans and billing section above. Contact [email protected] for account, workspace, billing, or data questions before ending use of a workspace.

Governing law.

These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable in Ontario, without regard to conflict-of-law principles. This choice of law does not limit any mandatory rights that applicable law does not allow the parties to exclude.

The service and feedback.

Quotia and its licensors retain their rights in the service, software, design, documentation, trademarks, and related technology. These Terms do not grant rights to use Quotia branding except as needed to identify the service.

If you provide feedback, you allow Quotia to use it to improve the service without an obligation to compensate you. Do not include confidential client information in general feedback.

Service warranties and responsibility.

To the extent permitted by law, Quotia is provided on an “as available” basis. Quotia does not promise that the service will always be uninterrupted or error-free, or that a workflow or report will meet every legal, regulatory, contractual, or professional requirement.

To the extent permitted by law, Quotia is not responsible for indirect, incidental, special, consequential, or punitive losses arising from use of the service. Nothing in these Terms excludes a right or responsibility that applicable law does not allow to be excluded.

Privacy and security.

The Privacy Policy explains how Quotia handles information. The Security page describes product and application controls. Those pages form part of the context for these Terms but do not create a certification or customer-specific compliance guarantee.

Changes and contact.

Quotia may update these Terms. The current version will remain available on this page with its updated date. Material changes may also be communicated through the service or by email when appropriate. Continued use after revised Terms take effect means you accept the revised Terms, except where applicable law requires another form of agreement.
